Program and Institutional Structure

Farabi Exchange Programme

The Farabi Exchange Program is a national exchange program in Türkiye that supports student and faculty exchange between higher education institutions and aims to improve academic cooperation and interaction between these institutions.

The Main Objective of the Coordination Office

The primary objective of the Farabi Institutional Coordination Office is to ensure that student and faculty mobility activities carried out within the scope of the program are conducted in accordance with relevant legislation, program rules, institutional decisions, and protocols signed between higher education institutions.

Within this framework, the processes of announcement, application, evaluation, selection, placement, academic recognition, admission, certification, monitoring, reporting, and archiving are coordinated in collaboration with the relevant academic and administrative units.

Application and mobility procedures for the program are carried out in accordance with the current legislation, official announcements published during the relevant period, and decisions taken by the authorized boards of the University.

Scope of the Program

The main areas of mobility and institutional cooperation that can be carried out within the scope of the Farabi Exchange Program are shown below.

Outgoing Student Mobility

This covers the procedures for students enrolled at our university to study for a specific period at another higher education institution that has a Farabi protocol.

Incoming Student Mobility

This covers the admission, registration, course selection, and academic procedures for students coming to our University from other higher education institutions.

Faculty Mobility

This covers the procedures related to faculty members conducting academic activities or teaching programs at higher education institutions with which they have protocols.

Farabi Protocols

This includes preparing protocols that define the academic fields, quotas, and application conditions for exchange between higher education institutions.

Preparing program announcements

It prepares mobility announcements that include application requirements, quotas, evaluation criteria, application deadlines, and required documents.

Receiving and checking applications

It ensures that student and faculty applications are reviewed and recorded in terms of compliance with the announcement requirements and document sufficiency.

Evaluation and selection processes

It coordinates the evaluation, ranking, and announcement of results of applications according to the announced evaluation criteria.

Execution of protocol processes

It ensures the preparation, signing, updating, and monitoring of Farabi protocols to be established between higher education institutions.

Tracking participant transactions

It monitors the acceptance, nomination, correspondence, document preparation, and mobility processes of the selected participants.

Recognition, reporting, and archiving.

It contributes to the coordination of academic recognition processes; and manages the archiving of activity documents, official correspondence, and reports.

Application Process

From Application to Completion of Mobility

If an announcement is published within the scope of the program, the mobility process generally consists of the following stages. Specific provisions in the relevant announcement text are reserved.

Phase 1

Advertisement and Application

The quotas, application requirements, evaluation criteria, and application schedule will be announced.

Phase 2

Evaluation

Applications are reviewed, ranked, and placement procedures are carried out according to the terms of the announcement.

Stage 3

Certification

The acceptance letter, learning protocol, academic study plan, and other mobility documents are prepared.

Stage 4

Mobility

The participant carries out the activity between the dates determined by the higher education institution that accepts the activity.

Stage 5

Recognition and Closing

Post-activity documents are submitted; academic recognition, reporting, and file closing processes are completed.

Basic Document and Transaction Groups

The required documents may vary depending on the type of mobility and the relevant announcement provisions. The document list specified in the announcement text will be taken as the basis.

Application Documents

Application form, student or staff certificate, and supporting documents requested in the advertisement.

Academic Documents

Transcript, course descriptions, grade report, and necessary academic board decisions.

Admission and Nomination

Acceptance letter, nomination letter, and any documents requested by the accepting institution.

Learning Protocol

A learning protocol that outlines the courses the student will take and the criteria for academic recognition.

Faculty Member Work Plan

A work plan that shows the scope, duration, and schedule of the academic activity to be carried out.

Post-Activity Documents

Certificate of participation, transcript, certificate of recognition, activity report, and other supporting documents.

Important Considerations for Applicants and Participants

Application deadlines are binding.

It is the applicant's responsibility to comply with the deadlines and times set for applications, objections, and document submission.

All documents must be submitted in full.

Incomplete, incorrect, illegible, or documents not submitted within the specified timeframe may be disqualified in accordance with the relevant announcement provisions.

Academic recognition is handled by the relevant department.

Course matching and academic recognition processes are finalized by the authorized bodies of the academic unit in which the student is enrolled.

Requests Regarding the Farabi Exchange Program

Formal requests regarding the program, proposals for institutional collaboration, and requests for information regarding application processes should be submitted to the Farabi Institutional Coordinator through the International Relations Office.
